Volunteer Descriptions
So much goes into running a successful meet. We could not do it without our amazing volunteers. Our volunteer coordinator, Katie Russo, will be available at each meet to help train volunteers, as needed.
PRACTICE LIAISONS - Practice Liaisons serve as the point of contact for coaches and parents during an assigned age group practice and ensure safety in the pool area during practice. They will relay message and questions to the coordinators as needed. This position is shared with another liaison, so you will work together to ensure all practice days are covered for the entire season. This role meets all 4 volunteer requirements for the season. This is a great role for parents that attend their child's practices anyways or are unable to volunteer during the meets.
ANNOUNCER - The announcer uses a microphone to keep everyone informed during the meet. They will announce the events and heats, tell swimmers when it's time to report for their races, highlight our sponsors, provide team scores throughout the meet, and makes other announcements as needed.
CONCESSIONS - Concessions volunteers sell food/drinks at the concession stand and collect payment. They will retrieve food from the kitchen and deliver to customers. The first shift should arrive early and help with setup while the late shift will help with cleanup.
DATA ENTRY - This volunteer will enter places and times into the computer software during the meet. Training will be provided.
EVENT COUNTER/FLIPPER - The heat updater volunteer keeps the event board current by updating/flipping the event number and heat number. This helps swimmers and parents know exactly what event and heat is currently swimming and keeps everyone on point with the timing of the meet.
GRILL MASTER - The grill master cooks burgers and hotdogs at the grill.
LINE JUDGE - Line judges announce or write the order of finishers in each race by sight. There are two place judges at each end of the pool. Each place judge sits with an opponent's place judge. One calls the order of finishers and the other writes down the order of finishers once they agree on the order. This job is one of the best views of the action.
RIBBONS - The ribbon volunteers show up early the day after the meets (8am) to apply stickers to the ribbons and organize them by swimmer.
RUNNER - Each team provides a minimum of 1 runner during the meet. Runners collect time slips from the timers, finish forms from the finish judges and DQ slips from the Referee. All the forms collected by the runners are taken directly to the scorer’s table.
STARTER - The start stands within 10 feet of the end of the pool where swimmers are entering. He/she will use an air horn to signal the start of an event and works with the referee to make sure a fair start to the event has been achieved.
SWIMTOPIA APP UPDATER - The Swimtopia app updater keeps the Swimtopia app current by updating the events and heats in the Swimtopia app. This volunteer position can be done from anywhere in the pool area or tailgate area, as long as the volunteer can hear and know which event and heat is running.
TEAR DOWN - This volunteer role will help coaches and coordinators make sure the pool deck, parking lot, bathroom and surrounding areas are returned to a state where they are ready to be used the following day. This includes moving furniture and removing necessary signage and cleaning up litter and debris.
TIMER - Timers work in assigned lanes and record swim times on time slips. Timers push the button when any part of the swimmer’s body touches any part of the end wall of the pool. Timers must pay attention and be always alert. It's one of the best spots to see the action. Timers will move and work both deep and shallow ending events.
